Gradphile Privacy Policy and Your Data

Who are we, and why did we create Gradphile?

Gradphile is developed and maintained by Thomas A. Houpt (Professor in Biological Science at Florida State University) and Charles E. Houpt (habilis.net, Ithaca NY), who produce and maintain a variety of scientific and academic software applications.

What data is used and stored by Gradphile?

When you login to Gradphile using your FSUID, the FSU Central Authentication Service provides Gradphile with your basic directory information (eg name, fsuid, and preferred email address). Gradphile never sees or records your fsuid password -- that is handled by the FSU servers which returns a limited time authentication token confirming your identity. Your name and fsuid are used to index and locate your stored data.

Who has access to your data?

Graduate student progression data and committee composition are downloaded from the FSU Grad School "Graduate Student Tracking (GST)" database to secure servers maintained at FSU. Only the student, their major professor(s), and their supervisory committee (as authenticated by fsuid login) has access to each student's progression page, checklist, and archived documents. THe departmental administrators (eg. the directory of the graduate program, and the graduate coordinator/advisor for the department), also have access to all student records -- just as they do via Student Central and the GST databases. Gradphile developers also have access to the Google Firebase database used for online forms.

What data is sent to us?

Matomo is used to collect usage information on our website. If Do Not Track is enabled in your web browser then no information is collected. Usage information is for internal use only and is not shared with anyone else, except as aggregate summary statistics. In particular, when an error occurs, such as when a page fails to display, or there is an error saving or retrieving data, we are notified about the error and its context.
